Plans and limits

Every workspace runs on a plan. The plan decides which modules are installed, how much the workspace can hold, and which service level applies. The current plans and their prices are on the pricing page; this page explains what those entries mean once you are inside.

What a plan controls

LimitWhat it means
UsersThe number of enabled system users (people who log in to the desk). Website users — customers or suppliers using portal pages — do not count.
Payroll employeesHow many employees payroll can be run for. This is a separate allowance from users, because most people on a payroll never log in: a workspace with three users can pay a hundred employees. Only employees with status Active count — anyone set to Inactive or Left does not.
StorageTotal size of uploaded files and attachments, in GB.
CompaniesHow many legal entities the workspace can hold. Multi-company accounting needs more than one.
ERP modulesWhether the workspace runs the core ERP only, or the full ERP. Core covers accounting, sales, purchasing and stock; full additionally unlocks manufacturing (BOM, work orders, production plans), quality, assets and project management.
Automation and approvalsThe level of workflow and automation features available.
ReportingStandard reports on every plan; the Insights BI module on plans that include it.
API accessWhether, and how much, the REST API can be used by other systems.
AI features and daily token quotaWhether the AI assistant is enabled, and how many AI tokens it may consume per day.
Support levelWhich support channel and response target applies.

Limits are written into the workspace itself when it is provisioned and again whenever your plan changes, so what the workspace enforces always matches what you are paying for.

What happens at a limit

Limits are enforced inside the workspace, at the moment you would exceed them:

  • Users — creating or enabling a user beyond the limit is refused with a clear message. Disable a user you no longer need, or add users to your plan.
  • Payroll employees — setting an employee to Active beyond the limit is refused. Set people who have left to Left or Inactive so they stop counting, or add employees to your plan.
  • Storage — an upload that would take the workspace past its storage limit is refused. Delete old attachments, or move to a plan with more storage.
  • Companies — creating a company beyond the limit is refused.
  • AI token quota — once the day's tokens are used, the assistant declines further requests until the quota resets at midnight.

Nothing is deleted and nothing stops working when you reach a limit; you simply cannot add more of that thing.

You are never billed for going over. Limits stop the action rather than charging for it, so there is no overage or excess-usage charge on any plan. The only way your bill changes is if you change it — by adding users or employees, or by moving plan.

Usage warnings

When a workspace passes roughly 80% of a limit, the workspace owner receives an email pointing it out, so you can act before anyone is blocked. Current usage is shown in My account.

Changing plan

Plan changes are made from My account.

  • Upgrade — choose the new plan and pay. The new limits apply once the payment is confirmed, and anything the new plan unlocks becomes available at the same time.
  • Downgrade — the change is scheduled for the end of your current billing period, so you keep what you paid for until then. Before it takes effect, bring the workspace within the smaller plan's limits — disable users above the new limit and reduce storage — because those limits are enforced from the moment the new plan applies.
  • Extra users — some plans allow adding users beyond the base allowance at a per-user price without moving to a bigger plan. If yours does, the option appears in My account.
  • Extra payroll employees — plans that meter payroll headcount let you add employees the same way, at a per-employee price, without changing plan.

Extra users and extra employees are part of your subscription: they are charged again at each renewal, for as long as you keep them. Removing them in My account stops the charge from the next renewal.

The free plan

Gratis is free permanently, not a trial. It runs one user, one company, 1 GB of storage, payroll for up to five employees, and the core ERP modules — accounting, sales, purchasing and stock. There is no AI assistant and no API access, and support is through community channels.

Because a free workspace is a full workspace — its own database, its own backups — one that nobody uses is paused rather than kept running indefinitely:

  • If nobody signs in for 60 days, the workspace is paused. You get an email about a week beforehand, and another when it happens.
  • Pausing is not deleting. Everything is kept exactly as it was. Signing in again from My account starts it back up.
  • Data is only ever removed under the retention policy described in Suspension and reactivation, never because a workspace was idle.

Upgrading from Gratis to a paid plan works like any other upgrade, and nothing is lost in the move.

Trials

Plans that offer a free trial give you the full plan for the trial period. You receive reminder emails as the end of the trial approaches. If you have not subscribed when it ends, the workspace is suspended — nothing is deleted — and it is reactivated as soon as you subscribe. See Suspension and reactivation.
