Backups
Automatic backups
Every active workspace is backed up once a day. A backup contains the workspace database and its uploaded files. Backups are kept for 30 days, and each one is copied to object storage in a separate location from the servers that run your workspace, so a failure of the platform itself does not take your backups with it.
You do not need to do anything to enable this, and it does not consume your storage allowance.
Restoring from a backup
Restores are performed by Aiconec on request. Contact support with:
- the workspace name,
- the date you want to restore to (any day within the last 30 days),
- whether you need the whole workspace or specific records.
A full restore replaces the workspace with the state it was in on that day, including everything entered since — so where possible, ask for the specific records instead, or export the recent work first.
Getting data out yourself
You are never dependent on support to get at your data.
- Download a backup — a System Manager can create and download a database and files backup from the Download Backups page at
/app/backupsin the workspace. Downloads are standard MariaDB dumps and tar archives. - Data Export —
/app/data-exportexports any document type to CSV or Excel, with a choice of fields and filters. Good for handing data to an accountant or moving a list to a spreadsheet. - Reports — every report can be exported from its menu.
- REST API — on plans that include API access, other systems can pull data directly. Ask support for the API documentation for your plan.
Before a bulk import, a large data cleanup or a plan downgrade, take a backup from /app/backups first. It takes a minute and gives you a point to return to without involving support.
